Use Guided Scoping® and the services library for simple and quick document creation.

Introduction

Guided Scoping helps you build a clear and strong project scope quickly. You can choose and customise a ready-made scope from our services library or start with a blank one.

 

In this article, we’ll show you how to get the most out of Guided Scoping.



Finding a scope template

1. To find the right template for your project:


Type the name of the service or category of work in the search field, orClick through the categories and subcategories.


2.   Each card represents a different scope. Click on a scope to view its phases and deliverables.


Once you select a scope, you will be able to easily delete, edit, or add more information to fit your project needs.



Customising a scope

1. When you find the right scope, click on it to open it. Then, click "Use Template" in the top right to open the editing screen.



Note: Any changes you make to the template will only affect your document, not the original template. Be sure to add your durations, activities, and acceptance criteria. These are suggested but not added automatically.



Once you're on the editing screen, you can:


Edit Phases
Edit a phase name or descriptionClick on the phase name or description to edit it.

Add a phaseScroll to the bottom of the page and click "Add phase."
You'll see a new, untitled phase appear at the bottom.
Delete a phaseClick the trash icon next to the phase on the right.
In the window that appears, click "OK."


Note: Deleting a phase will remove all deliverables, activities, and acceptance criteria within it. This action can't be undone, and you'll need to re-add the deleted information.





Edit Deliverables

Edit a deliverable name or descriptionClick on the deliverable name or description to edit it.

Add a deliverableClick "Add deliverable" at the bottom of a phase to add a new deliverable.
Add an activity/acceptance criteria to your deliverableClick "Show" under the deliverable to see suggested activities or acceptance criteria.
Click "Add" next to the activities/acceptance criteria you want to include. You can customize them later.
Or, click "Add custom activity"/"Add custom acceptance criteria" to create a blank one to fill in.

Add a duration or due date to your deliverableClick "Add duration" / "Add due date" under the deliverable.
Adjust the number or date and click the tick icon to save.
Edit an activity or acceptance criteriaClick on the activity or acceptance criteria to edit it.
Edit a deliverable duration or due dateClick the Edit icon next to the duration or due date.
Update the duration or date and click the tick icon to save
Delete a deliverable, activity, acceptance criteria, or durationClick the trash icon next to the information you want to delete.

Note: This action can't be undone, and you'll need to re-add the deleted information. Deleting a deliverable will also delete all associated activities, criteria, and duration.





Using a blank template

To create a scope from scratch:


1.   On the homepage of the Guided Scoping Library, click "Use blank template".


2.   Choose the template you'd like to use and click "Select".


Once you're on the editing screen, you can:


Edit Phases
Add a phaseScroll to the bottom of the page and click "Add phase."
You'll see a new, untitled phase appear at the bottom.
Edit a phase name or description
Click on the phase name or description to edit it.
Delete a phaseClick the trash icon next to the phase on the right.
In the window that appears, click "OK."


Note: Deleting a phase will remove all deliverables, activities, and acceptance criteria within it. This action can't be undone, and you'll need to re-add the deleted information.





Edit Deliverables

Edit a deliverable name or descriptionClick on the deliverable name or description to edit it.

Add a deliverableClick "Add deliverable" at the bottom of a phase to add a new deliverable.
Add an activity/acceptance criteria to your deliverableClick "Add activity" / "Add acceptance criteria" under the deliverable to add a new activity or acceptance criteria.
Add a duration or due date to your deliverableClick "Add duration" / "Add due date" under the deliverable.


Adjust the number or date and click the tick icon to save.
Edit an activity or acceptance criteriaClick on the activity or acceptance criteria to edit it.
Edit a deliverable duration or due dateClick the Edit icon next to the duration or due date.
Update the duration or date and click the tick icon to save
Delete a deliverable, activity, acceptance criteria, or durationClick the trash icon next to the information you want to delete.

Note: This action can't be undone, and you'll need to re-add the deleted information. Deleting a deliverable will also delete all associated activities, criteria, and duration.





Adding a scope to your document

When you finish editing your scope, you need to add it to your document. To do this:

 

1.   Click “OK” at the bottom of the page.

Your scope will appear in your document on the right side.


Note: Your scope is not saved until you add it to your document.




Editing your scope later

Editing your scope after you've added it to your document is easy:


1.   Go to the Guided Scoping question and click Edit.


2.   Make your changes.


3.   Press "OK" at the bottom of the page to save your changes. This will update the scope for everyone working on the document.


Note: Your updates will not be saved until you add the scope to your document.
