Work Author as an external user

Learn what to do when you're invited to collaborate on a document or question by a client or partner.

Introduction

Welcome to Work Author, the all-in-one collaboration and writing platform for enterprise companies.

 

Tired of juggling Word, PDF, Excel, and email to get a single contract signed? It slows down your projects and adds unnecessary admin work.

 

We offer a better solution. Work Author is intuitive, collaborative, and flexible. Our platform helps teams create and complete documents and contracts faster and more accurately. 

 

If a client, partner, or colleague invites you to collaborate using Work Author, you can easily and securely review and work on the document or question. Just follow the simple steps below to get started.



Receiving an email from Work Author

If someone invites you to work on a document or question through the platform, you’ll get an email from Work Author like the one below.



You’ll be able to see:

 

  • Who invited you
  • What they want you to collaborate on (e.g., a whole document or just a question)
  • A link to access the document or question

Accessing the document or question

To access the document or question, click the link at the bottom of your email.

 

If you’ve been asked to work on a question, you’ll go directly to it. Check the next section in this article to see how to answer it.

 

If someone has shared a document with you, then you’ll be asked to log in for security purposes.


Note: You don't need a Work Author account. You'll log in with a one-time password sent to your email.


 

1.   On the login page, enter the email address that received the invite and click "Continue."2.   A one-time password will be sent to your email. Enter the code and click "Continue."


3.   You'll go straight to the document that was shared with you.


Tip: To access the document later, click the link in the email again and follow the same process, or use the inviting organisation’s Work Author URL. You can find this by returning to the dashboard and copying the browser’s URL.


Answering a question

After opening the link, you can see which questions were shared, previous answers, and any comments.


Tip: To navigate multiple questions, use the left sidebar.


To answer a question:


1.   Select or enter an answer on the right.

 

2.   Press “OK” to send your answer.

The person who shared the question will get an email notification to say that you’ve answered, and your answer will be added to their document.



To leave a comment:

1.   Type your comment in to the comment field on the right.2.   Press the Send icon to add your comment.

 

You can return anytime via the same email invite to review your answers and add more comments.



Collaborating on the document

After logging in, you’ll go directly to the shared document.

 

As an external user on a document, you can:

  • Answer questions and see a timeline of answer changes
  • See and leave comments 
  • Share questions or the document with your colleagues
  • Add images to your document 
  • See and download copy of the finished document
  • See who has access to the document
  • View a basic document dashboard
  • Toggle notifications on or off
  • Access the support centre

As an external user, you won’t be able to:

  • Start a new document
  • Complete or publish the document
  • Archive or delete a document
  • Change a document name
  • View any internal-only questions
  • See the full document timeline
  • Initiate document workflows

What does everyone see in the document?

If you’ve only received a question, others working on the full document will have a different view. They see all questions and a preview of the document. When you answer a question, they will see your answer in the document.



If a document was shared with you, your view matches everyone else’s. The only differences are:

 

  • The document owner can see a timeline of all document activity.

  • Users from the inviting organisation might see a special section with questions restricted to their users only. These questions usually relate to the organisation’s policies or processes. If answers from this section are added to your document, you will still see them but will be unable to edit them.
