Managing your documents

Quickly locate the document you need, remove completed documents from your dashboard, and permanently delete drafts.

Introduction

To view all your documents:


1.   Click "My Documents" in the menu on the left.

You'll see your documents organised into three groups:

  • In progressDrafts you are working on
  • Completed: Finished documents 
  • Archived: Finished documents moved to the archive



Finding a document 
a.  Finding a draft document

1.   Click "My Documents" in the menu on the left.


2.   Make sure the “In progress” group is selected. Then, sort your documents by clicking the relevant table header. For example, to sort your documents by name, click Name. Click once to sort A-Z, and click again to sort Z-A.


3.   Click on your document to open it.


 

 

b. Finding a completed or published document


Note: Documents automatically move to the “Completed” group when all questions are answered, and the document owner finishes the document. There might be another workflow before the document is “Published”.



1.   Click on "My Documents" in the menu on the left.


2.   Make sure the “Completed” group is selected. Then, sort your documents by clicking the relevant table header. For example, to sort your documents by name, click Name. Click once to sort A-Z, and click again to sort Z-A.



3.   Click on your document to open it.


Tip: If you can't find a completed document, it might be archived. Check the next section to learn how to find archived documents.




 

 

c. Finding an archived document

1.   Click on "My Documents" in the menu on the left.


2.   Make sure the “Archived” group is selected. Then, sort your documents by clicking the relevant table header. For example, to sort your documents by name, click Name. Click once to sort A-Z, and click again to sort Z-A.


3.   Click on your document to open it.




Archiving a document

Archiving helps you focus on active documents. Archived documents won’t show on your dashboard but are still in “My Documents.”


Note: Only the document owner/author can archive a document. This also archives it for co-authors. You can only archive completed documents.



You can archive a document in two ways:


From your Dashboard


Find the document you’d like to archive on your Dashboard and click the Archive icon to the right of the document.

In the message that appears, click Archive to archive your document.


From your Documents


Find the document you’d like to archive. It will be in the "Completed" group under "Your Documents". Click on the "Archive" icon to the right of the document.

In the message that appears, click "Archive" to archive your document.


a. Returning a document from the archive

To return an archived document to the “Completed” document group and your dashboard:


1.   Click “My Documents” in the menu on the left.


2.   Click on the “Archived” group.

 

3.   Find the document you’d like to restore, and click the Unarchive icon on the right.

In the message that appears, click "Unarchive" to unarchive your document.

 



Deleting a document


Note: Only the document owner/author can delete a document. This also deletes it for co-authors and collaborators. You can only delete In Progress documents.



You can delete a document in two ways:


From your Dashboard:

Find the document you’d like to delete on your Dashboard and click the Delete icon to the right of the document.

In the message that appears, click Delete to permanently delete your document. Deleted documents cannot be restored.



From your Documents:

Find the document you’d like to delete. It will be in the "In Progress" group under "Your Documents". Click on the "Delete" icon to the right of the document.

In the message that appears, click Delete to permanently delete your document. Deleted documents cannot be restored.
